Welcome to OpenHack 2025, organized by GDG On Campus UNSTPB (“the Organizers”).
By registering and participating, you agree to these Terms & Conditions and any subsequent updates as described below.
1. Event Details
Dates: 8–9 November 2025
Duration: 24 hours + Sunrise Ritual
Venue: Central Library, Universitatea Politehnica din București
Badges are required for entry and must be worn at all times.
2. Eligibility & Registration
Open to students aged 18+ only.
Student ID or ID must be presented at check-in.
No external guests, minors, pets, or animals allowed.
Registration is free via openhack.ro.
Teams: up to 4 members. Individuals without a team may be matched.
Teams must be finalized before hacking begins.
Registrations are subject to approval; organizers may refuse or revoke participation at their discretion.
If a participant is found to have provided false information during registration, the Organizers may revoke access and disqualify the team.
3. Theme & Submission Rules
The theme will be announced 48 hours before the event via:

Mandatory submissions:
GitHub repository link (public) by 8 Nov, 21:00 – must show progress.
Project title + short description by 8 Nov, 21:00.
Presentation file (.pptx) by 9 Nov, 13:00.
No commits after 9 Nov, 13:00 will be considered.
Rules:
All code must be written during the hackathon period.
You may use open-source libraries, APIs, and AI tools if properly credited.
Pre-built or previously submitted projects are prohibited.
Teams must be able to demonstrate a functional prototype during judging.
Organizers reserve the right to verify repository history and submission integrity.
4. Venue & Conduct
Respect venue property and keep all areas clean.
No alcohol, drugs, smoking/vaping indoors, weapons, or hazardous materials.
No disruptive noise, harassment, discrimination, or offensive content.
Participants must comply with staff and security instructions at all times.
Damages to property are the responsibility of the individual or team involved.
The Organizers may disqualify or remove participants for misconduct or rule violations.
A Code of Conduct will be enforced in line with Google Developer Group (GDG) community standards.
5. Judging & Prizes
Judging is expo-style: judges circulate, evaluate, and interact with teams.
Judges select the top 3 teams; the public votes for the final winner.
Criteria used for evaluation will be disclosed 48h before the event.
Judges’ decisions and the public vote are final and binding.
Prizes will be announced closer to the event and may include sponsor products, vouchers, or other rewards.
Prizes are non-transferable and cannot be exchanged for cash.
If a team is found to have violated rules, their prize may be revoked and awarded to the next eligible team.
6. Intellectual Property
Participants retain full ownership of their project and code.
By participating, you grant the Organizers a non-exclusive, royalty-free, worldwide license to display your project name, description, screenshots, and presentation for promotional or educational purposes.
Sponsors do not obtain ownership or rights to your project unless a separate written agreement is made after the event.
You are solely responsible for ensuring your submission does not infringe any third-party intellectual property rights.
7. Data & Privacy
Personal data (e.g., name, email, school, team info) is collected for event operation.
Names and emails will also be shared with the official Google Developer Groups (GDG) Platform, and are subject to the GDG Platform Terms & Conditions.
Data may be shared in aggregate (anonymized) with sponsors (e.g., “70 students, 40% CS majors”).
Personal data will be deleted 30 days after the event, unless you consent to further contact.
You may request data deletion earlier by contacting support@openlabs.ro
Data will be processed in compliance with EU GDPR regulations.
8. Liability
Participants are responsible for their belongings. Organizers are not liable for loss, theft, or damage caused by participants.
Organizers are not liable for injuries, illness, death or technical issues affecting judging.
If the event is delayed or canceled due to force majeure (e.g., weather, restrictions), organizers are not liable for any resulting losses.
9. Media Consent
The event will be documented via photo and video.
By attending, you consent to the use of your image, likeness, and voice in event-related materials, online or offline, without compensation.
10. Safety & Emergency
Participants must immediately report injuries, hazards, or suspicious behavior to organizers or security staff.
The Organizers may take any action deemed necessary to ensure participant safety.
11. Updates & Withdrawal
The Organizers may update these Terms & Conditions at any time prior to the event.
Updated versions will be published on openhack.ro, and continued participation implies acceptance of the latest version.
If a participant does not agree with an update, they may withdraw from the event by notifying the organizers via support@openlabs.ro before check-in.
Withdrawal automatically cancels participation, and the participant’s data will be deleted per the Data & Privacy policy.
12. Governing Law
These Terms are governed by Romanian law. Disputes will be handled in the competent courts of Bucharest.
13. Acceptance
By registering and checking in, you confirm you have read, understood, and agree to these Terms & Conditions.
